Record Arrival Conditions When Reviewing Insulated-Bag Odor
An observation made when a sample arrives and one made after unpacking or other handling need a shared record before they can be compared. Identify the bag and its packing state, record what has already happened, and keep unanswered acceptance questions open.

Identify the sample and the state in which it arrived
YUANEN’s compact lunch-bag page shows a soft-sided yellow carrier with a top zip closure and body-mounted handles. Its textile exterior is described separately from the insulation and lining specification, which still require confirmation. The picture and product description do not supply a measured odor result or an odorless specification.
Use the exact sample reference, revision and printed or plain configuration. Record the outer carton, any inner wrapping and whether the sample was received closed or already opened. If it has already been aired, cleaned or otherwise handled, retain that history instead of describing it as an unchanged arrival sample. Do not fill an unknown time or treatment with an assumption.
Keep receipt, opening and review on one record
Agree the review arrangement and any reference sample with the responsible supplier. Record the conditions used for the observation and any differences between reviews. The following fields are a purchasing record, not a prescribed sensory test, an odor score or a conditioning period.
| Record | What to retain |
|---|---|
| Sample identity | Sample and revision; printed/plain configuration; relevant specification reference |
| Arrival and packing | Receipt time; carton and wrapping; closed/open state; receiving observation |
| Opening and handling | Opening time; handling already performed; instruction and responsible person, if known |
| Review basis | Review time and conditions; agreed reference sample; recorded differences |
| Open decision | Observation in the reviewer’s words; supplier response; documents or investigation still needed; decision owner |
Resolve acceptance against the actual proposed order
Ask the supplier for the material, process or packing information that matches the sample when a question remains unresolved. Agree whether another matched sample, a documented explanation or an appropriate qualified investigation is needed. Keep acceptance pending until the responsible parties have resolved the agreed requirements; a completed form alone does not approve the sample.
This record establishes neither the cause of an odor nor a health, food-contact or performance conclusion. It supplies no universal airing time or deodorising method. Keep the later delivery-lot inspection and production-acceptance records separate, linked through the sample revision that was actually agreed.
